Notes and Restrictions
This section describes notes and restrictions related to importing documents and how to handle them.
Import from OneDrive for Business
- The import settings for OneDrive are valid within 30 days.
When the expiration date approaches 1 Week Remaining or 2 Weeks Remaining, all users (registered users) and e-mail addresses set as the error notification destination in the environment settings will receive an e-mail.
Follow the e-mail contents and update the expiration date.
FUJIFILM IWpro Capture
- Internet connection is required. If you are not connected to internet, an error message will be displayed and you are not able to use it.
- Availability of scan parameters may vary between different models of multi-function devices.
- For the models without fax function, fax reception is not supported.
- When Fax is selected for [Input Method] in the rule, the Input > Name (Address Book) and Input > Company Name (Address Book) settings in [Destination] might be lost.
For the following models, it is not recommended to use Input > Name (Address Book) and Input > Company Name (Address Book).

- Follow the procedure below to change the cloud service connection settings. Example: Microsoft Teams
1. Refer to the following user's manual to configure the connection settings.

2. Log in to FUJIFILM BI Direct (https://www.fujifilm.com/fb/direct).
3. On the [Home] screen, click [Services In Use].
4. Click [Connection Destination List] for FUJIFILM IWpro.
5. Select Microsoft Teams / SharePoint Online, click [Disconnect], then click [Connect] again. - There is a limit to the number of scan jobs that a Print license user can execute. The maximum number of scan jobs is set to "up to Print license count × 100 scan jobs" per tenant per month. The scan function will not be immediately stopped after exceeding the limit. However, if you continue to register scan jobs beyond the limit, please consider switching to a Light license or a Standard license.
If the use of scan job registration that exceeds the contract limit continues with the Print license, we may notify you and suspend the service. - If you do not have privileges for downloading the selected file, you cannot execute printing or display a preview.
- When scanning and printing via device-linked cloud services, even if the search conditions are the same, search results may or may not be displayed. If the search results are not displayed, try refreshing the screen.
- The site name displayed when outputting a file to SharePoint Online and the "Document" library name depend on the default language set in SharePoint Online.
- In scanning and printing for SharePoint Online, if you do not have access rights to the parent folder of the folder you are viewing, an error will be displayed when you move to that parent folder.
- When scanning and printing for OneDrive for Business, if you do not have access to the folder above the one you are viewing, an error will be displayed when you move to that folder.
FUJIFILM IWpro Linked Folder
- Execute the installer or ConfigTool as a user with Administrator privileges.
- Installer cannot be booted from network drive. Run the installer on the PC with monitoring target folder.
- In order to use FUJIFILM IWpro Linked Folder, a version newer than .NET Framework 4.7.2 must be installed. If the.NET Framework installed by default on Microsoft Windows is uninstalled, there are cases where FUJIFILM IWpro Linked Folder will not work. Please install .NET Framework manually.
- FUJIFILM IWpro Linked Folder cannot be started by multiple users at the same time on 1 PC.
- Network folders can be set as upload folders and download folders. However, folders on NAS cannot be set.
- A network folder cannot be set as the working folder.
- For automatic downloads, mutual exclusion is enabled within a single PC. It is not performed between multiple PCs.
- The installer only supports Japanese and English.
- For the rules displayed in the rule list in [Upload Settings] tab of the setup tool, [Input] must be set to [Not Specified]. Select [Not Specified] for [Input] in the upload rule.
- For the rules displayed in the rule list in [Download Settings] tab of the setup tool, [Extended Folder] must be set in [Destination] - [Services]. Specify the [Extended Folder] for [Destination] - [Services] in the download rule.
- Up to approximately 500 documents can be uploaded per hour. When more than 500 documents are processed per hour, such as uploading simultaneously using this tool in multiple PC environments, errors such as Too Many Request may occur according to the flow limit of the external link destination specified as the output destination.
If document splitting is performed inside a rule, adjust the number of uploads to ensure that the number of documents output after splitting does not exceed 500 documents per hour.- If multiple document registration processes are executed at the same time, an error such as "Too Many Requests" may occur even if the number of documents uploaded per hour is less than 500.
You can check the error details by viewing the details of the job in Import Document. You can restart the registration process by re-running the job from the job menu. - When updating from a version prior to 2.0.2 to version 2.0.2 or later, you need to log in to FUJIFILM IWpro again. If you have set up email notifications, an error email will be sent during the update.
- If you are logged in to FUJIFILM BI Direct with the default web browser, you will be logged in to FUJIFILM IWpro Linked Folder with the logged-in account. To log in with another account, log out of your current account from your default web browser.
E-mail Notification
- E-mails from Fujifilm accounts may not arrive due to settings such as reception reject, domain-specified reception and so on. Configure the reception settings so that you can receive e-mails from "@fujifilm.com".
Import Settings for E-mail Body Files
- Import and destination settings of the e-mail body files are performed in the rule settings (not the rule editor's environment settings).
Rule Settings・Job List Function
-
If a file with the same name exists in the output destination when the rule is executed, the file name will be automatically appended with a branch number.
However, File Management and Google Drive will output files with the same name.
If there is a change such as adding a number to the end of the file name, the file name before the change will be displayed on the Job List Details screen.
The URL and ID that specify the output destination are displayed on the Details screen, so use them to check the file name.
Rule Settings
- The maximum number of rules that can be created using the rule editor is 300. You cannot create more than 300 rules, so you will need to delete unnecessary rules as appropriate.
- If "Local PC" (FUJIFILM IWpro Linked Folder) or "External Link (API Link)" is set as the rule output destination, the test execution will not output to this destination. You need to publish the created rule, register the file, and execute it in the same procedure as normal operation.
- When the test execution is complete, the output result information (URL and ID) will be displayed. However, if you close the screen, you will not be able to check the output destination information. Please wait for the test to finish without interrupting the test execution process.Also, the processing results of the rule test execution is not recorded in the job history that can be checked from the [Import Document] screen.
- In the following cases, trapezoid correction cannot be performed and the input image is output as is.
- The contrast between the original and the background is small
- The top of the original is out of the image
In the following cases, trapezoid correction may not be performed successfully and unintended processing results may be output.
- Images with 2 or more originals - If a PDF created by the application is input in the Document Modification step, it will be uniformly converted to a color image (even if the PDF looks monochrome).
- When a JPEG in Exif format is input in the Document Modification step, the value of the Orientation tag*1 is not
considered, so depending on the Orientation value set, the document will be output without being rotated to the upright
orientation.
If you want the document to be in the upright orientation, enable [Auto Upright Orientation] in the Document Modification modal dialog.
*1 Orientation tag: This is the metadata that indicates the image is saved in a JPEG file with a different rotation/mirror image than originally intended, depending on the orientation of the camera, etc. - If the images input in the Document Modification step
- have different vertical and horizontal resolutions (so-called fax resolution images), and
- are color/grayscale,
the QR code attached to the images cannot be read correctly.
As a result, even if you specify [Auto Upright Orientation] > [QR Code Orientation], the document cannot be rotated correctly to the upright orientation. - If the images input in the Document Splitting step
- have different vertical and horizontal resolutions (so-called fax resolution images), and
- are color/grayscale,
the QR code attached to the images cannot be read correctly.
As a result, even if you specify [QR Code Split Setting], the document cannot be split correctly. - When one of the following rule templates is selected, the Document Split Settings menu will not be available.

- When split by blank pages is set and [Remove Blank Sheet] is turned off, the blank sheet will become the first page of the file after the split.

File 2: Blank sheet, Form B - When the rule template for [Identify and Output Form] is selected, the Document Split Settings menu will not be available. If you want to split a document, select a rule template other than the rule template for [Identify and Output Form] when creating rules.
- During the date format conversion process, numbers are automatically converted to half-width characters. (Excluding "Year", "Month", and "Day").
Example:
Before conversion: 2023年11月15日
After conversion: 2023/11/15
If the number string representing the year (YYYY) is less than 4 digits, it is padded with 0s from the upper digit so that it becomes 4 digits.
Similarly, if the number string (MM, DD) representing the month or day is less than 2 digits, it is padded with 0s from the upper digit so that it becomes 2 digits.
Example:
Before conversion: 2023年11月5日
After conversion: 2023/11/05 - The attribute name that can be set on the Attribute Extraction Settings screen will be up to 100 characters. Also, you cannot create multiple attribute names with the same name.
- If the images input in the Attribute Extraction step
- have different vertical and horizontal resolutions (so-called fax resolution images), and
- are color/grayscale,
the QR code attached to the images cannot be read correctly.
As a result, even if you specify [Attribute Extraction Settings] > [Extract from QR Code], the attributes cannot be extracted correctly. - If a password-protected file is input, an error will occur. You will need to take measures such as retrieving the relevant file from the job list, and deactivating the password before inputting it.
- The maximum number of characters that can be output for an attribute value are indicated below.
- Workspace attribute: Up to 100 characters
- File Management attribute: Up to 128 bytes
- DocuWorks file attribute: Up to 1,024 characters
- PDF file attribute: Up to 1,024 characters
The behavior that occurs when the above limits are exceeded is indicated below.
- Workspace Attributes: The attribute will be blank
- File Management attribute: An error will occur
- DocuWorks file attribute: The string will be truncated
- PDF file attribute: The string will be truncated
DocuWorks file and PDF file attributes may have a maximum number of characters less than 1,024 because surrogate pairs are counted as two characters. - The number of attributes that can be assigned to a document is as follows.
- DocuWorks file: Up to 100
- PDF file: Up to 255
An error will occur if the above upper limit is exceeded. - If you select the following conditions in the output condition settings, the attribute value will be treated as a number.
- "is equal to the following number"
- "is not equal to the following number"
- "is greater than or equal to the following number"
- "is less than or equal to the following number"
- "is greater than the following number"
- "is less than the following number"
If you select these conditions, please note the following:
- If it is difficult to treat the attribute value as a number, or if it cannot be interpreted as a number, it will be skipped as if the set conditions were not met.
- When treating attribute values as numbers, they will be treated in the British style of notation (where thousands are separated by "," and decimals by ".". Example: 123,456,789.012). The French style of notation (where thousands are separated by "." and decimals by ",". Example: 123.456.789,012) is not supported.
- If an attribute value has a unit that contains a number such as "m2", it cannot be correctly interpreted as a number.
- Attribute values other than the workspace integer type/floating point type cannot be handled as negative values. Symbols such as the minus symbol are ignored. - If a date-time attribute within a preset form is deleted and recreated, the recreated attribute may not be set as a date-time type.
In such cases, change the attribute type to "Date and Time" on the [Attribute Extraction Settings] screen in the rule settings. - If a file with the same name exists in the output destination when the rule is executed, the file name will be
automatically appended with a branch number. However, File Management and Google Drive will output files with the same name.
If there is a change such as adding a number to the end of the file name, the file name before the change will be displayed on the Job List Details screen.
The URL and ID that specify the output destination are displayed on the Details screen, so use them to check the file name. - When Apply Subfolder Setting is turned on, the file will be output to the subfolder set when the rule is executed.
However, if multiple folders with the same name exist in the output destination service, it will be output to the subfolder found first in the search. - If you specify [Do not convert] as the output file format, the attributes cannot be assigned.
Attributes can only be assigned when PDF or XDW is specified as the output file format. Attributes are assigned in string format. - If the file name generated during rule execution are longer than 100 characters, or if the file name and folder path are longer than 255 characters, an error will occur.
You need to review the rule settings and rerun the relevant job from the job list. -
If a CSV file specified in Manage Reference Files in the Attribute Extraction Settings is deleted from the repository service and then stored again with the same name, an error will occur when the rule is executed.
When you deleted a CSV file and registered a new one, select the CSV file again on the Manage Reference Files screen. -
When specifying an area from a file on the [Attribute Extraction Settings] screen of the Form Type Settings, there are the following restrictions on the range that can be specified.
- Long document in portrait orientation
Sum of the X coordinate of the area and the width of the area must be less than 7,014 pixels
Sum of the Y-coordinate of the area and the height of the area must be less than 10,204 pixels - Long document in landscape orientation
Sum of the X-coordinate of the area and the width of the area must be less than 10,204 pixels
Sum of the Y-coordinate of the area and the height of the area must less than 7,014 pixels
- Long document in portrait orientation
- When adding the date/time to a file name or subfolder name in a rule process, the format of the added date/time is "YYYYMMDDHHmm" in the following case.
Condition 1) When the attribute value selected in [Subfolder Settings] and [File Name Setting] in [Output Destination] in the rule settings is assigned as either of the following types of string- A) A string extracted with either of the following methods selected in [Attribute Extraction] in the rule settings
- [Extract from QR Code]
- [Extract from QR Code]
- [Extract from Reference File] - B) A string imported as an input parameter value from a CSV file attached as an input file in a rule created from the [Output Local PC Documents] template
- "YYYY-MM-DDTHH:mm:ss.sssZ"
Example: "2024-05-25T12:34:56.789Z"
When both of the above conditions are met, the string assigned as the attribute value is evaluated as a date/time using UTC (Coordinated Universal Time) and assigned to the file name or subfolder name in the "YYYYMMDDHHmm" format of the local time zone specified in advance.
The time zone is specified in [Time Zone Setting] in the rule settings. - A) A string extracted with either of the following methods selected in [Attribute Extraction] in the rule settings
- If a string that represents a date in the following format is output to a datetime type attribute for file management, the time will be set to 0:00.
yyyy-MM-dd
yyy/MM/dd
Example:
If you register the transaction date string "2024/04/01" read from the document in the datetime type attribute for file management, it will be treated as "2024/04/01 00:00:00". - When File Management is specified as the output destination, up to 20 cabinets and drawers can be displayed on the folder setting screen. Also, if the number of folders is large, there are cases where a timeout occurs and they cannot be displayed.
- In Attribute Extraction Settings of the Form Type Settings, up to 30 attributes can be added when Extract by Keyword is selected as the Extraction Method.
- In Attribute Extraction Settings of the Form Type Settings, up to 50 keywords can be added to an attribute when Extract by Keyword is selected as the Extraction Method.
- In Attribute Extraction Settings of the Form Type Settings, up to 100 attributes can be added when Extract by Area Specification is selected as the Extraction Method.
- In Attribute Extraction Settings of the Form Type Settings, !" * +,.:;? ^ `| ~ ⦅⦆¬¯¦ (full-width / half-width) characters cannot be used in the string specified as a keyword when Extract by Keyword is selected.
- In Attribute Extraction Settings when a new rule is created, the default value of [Date and Time Format Conversion] is set to ON for some preset attributes (such as [Date]) in the preset form. However, if the corresponding attribute is deleted on the [Form Type Settings] screen, the default value of [Date and Time Format Conversion] will not be set to ON when creating a new rule even if that attribute is recreated. Change the setting of the attribute for which you want to use [Date and Time Format Conversion] to ON in the Attribute Extraction Settings.
- Files output to Working Folder can be output to a personal drawer or Shared Drawer. They cannot be output to a Secure Drawer, Encryption drawer, or Evidence Management Drawer.
- When setting the output destination, Dropbox team folders may not be displayed. If they are not displayed, perform the connection operation with Dropbox in FUJIFILM BI Direct.
When executing a rule that has the output destination set to a Dropbox team folder, each user executing the rule must perform the connection operation with Dropbox.- For information on the connection operation with Dropbox, see Individual User Connection Settings in "Getting Started with FUJIFILM IWpro".
- The site name displayed when outputting a file to SharePoint Online and the "Document" library name depend on the default language set in SharePoint Online.
- Shared folders in SharePoint Online may take some time to reflect changes or cancellations in sharing settings in the [Shared] section. As a result, folders that appear in the [Shared] section may not actually be shared. Selecting such folders may result in an error.
- Shared folders in OneDrive for Business may take some time to reflect changes or cancellations in sharing settings in the [Shared] section. As a result, folders that appear in the [Shared] section may not actually be shared. Selecting such folders may result in an error.
- Files output to a linked folder can only be output to a local path (such as C:\Users\Username\Documents). They cannot be output to a shared folder or NAS on a network.
- To reach the specified output destination folder from the root, access is required to all folders in between.
Rule Execution
- When running a rule that includes [Document Modification] or a rule with a setting other than [Do not convert] in [File Format] under [Output Format], an input document whose paper size exceeds A3 may result in an error.
- When running a rule that includes [Document Modification] or a rule with a setting other than [Do not convert] in [File Format] under [Output Format], an error may occur if the resolution of the input document exceeds 600 dpi.
Set the input document resolution to 600 dpi or less. - When running a rule that includes [Document Modification] or a rule with a setting other than [Do not convert] in [File Format] under [Output Format], and the input document is a PDF with no embedded fonts, there may be missing characters in the output.
Convert the PDF to an image or embed the font. - When running a rule with [Document Modification] or a rule with a setting other than [Do not convert] in [File Format] under [Output Format], an input document with a high resolution and a large number of pages may result in an error.
Reduce the resolution or the number of pages of the input document. - When running a rule with a setting other than [Do not convert] in [File Format] under [Output Format], the size and orientation of the output document may be changed if the input document is a DocuWorks document (image document).
Reconvert the input document to the standard paper size using the DocuWorks plug-in. - When [XDW] is specified in [File Format] under [Output Format] in a rule that does not include [Document Modification], if the input document exceeds 500 mm, the size of the output document may be changed to 500 mm.
- If you select a setting other than [Do not split] for the rule's [Document Splitting] setting, the split documents may be output in an order different from the page numbers.
- If the resolution of the document used when specifying an area from a file on the [Attribute Extraction Settings] screen of the Form Type Settings and the resolution of the input document when running the rule are different, the characters in the specified area cannot be recognized correctly. Make the resolution of the document the same during setting and when the rule is executed.
- When an area is specified from a file on the [Attribute Extraction Settings] screen of the Form Type Settings, and the attribute extraction process is performed on a multi-page document, the string acquisition process for that area is executed for all pages, and the string of the first page from which a string can be extracted is used as the attribute value.
- Do not delete the attribute template that is set as the default value for the file management cabinet. There are cases where rules for outputting to cabinets will result in errors. If it is deleted, reselect the default value of the attribute template in the cabinet settings.
- Line feeds in strings read from the QR code during attribute extraction are ignored. As a result, the strings before and after the line feed are joined and handled as 1 string. Use commas when you want to separate the items.
- When a rule is executed for some DocuWorks documents or PDF files, the annotation information included in the input document is not reflected in the output document.
To reflect the annotation information in the output document, perform one of the following methods on the [Rule List] screen.- Method 1
On the [Output Format Settings] screen, set [Output Format] to [Do not convert]. - Method 2
On the [Output Format Settings] screen, set [Output Format] to [PDF] or [XDW], then select the [Use Original File] check box. - Method 3
- On the [Output Format Settings] screen, set [Output Format] to [PDF] or [XDW].
- Set [Document Modification] to [Custom], and disable all the items on the [Document Modification Settings] screen.
- Set [Document Modification] to [Do not split].
You can check the input document by downloading it from the download menu of the job list in Import Document. - Method 1
- A maximum of approximately 500 documents can be processed in a rule per hour. If more than 500 documents are processed in an hour, an error such as "Too Many Requests" may occur.
If document splitting is performed inside a rule, adjust the number of uploads to ensure that the number of documents output after splitting does not exceed 500 documents per hour.- If multiple document registration processes are executed at the same time, an error such as "Too Many Requests" may occur even if the number of documents uploaded per hour is less than 500.
AI Extraction
- With AI-based information extraction, it becomes easier to extract information without having to set the region for each item as before. However, please note the following precautions and limitations when using this feature.
- Generative AI may infer missing information based on the input data. As a result, please note that it may generate strings or numbers that are not actually present.
- Under the following conditions, errors may occur, or accuracy may decrease in the extraction results generated by AI.
- When the layout of the detailed table is complex
- When the detailed table contains special formats or ambiguous descriptions
- When handwritten text is included
- Even with the same form, slight differences in conditions, text recognition accuracy, or data processing timing may result in variations in the extraction results generated by AI.
- Due to the reasons mentioned above, the accuracy of the extraction results cannot be fully guaranteed. Please use this feature with the understanding that verification and correction may be necessary.
