Setting Activity
You can work in the environment optimum for each business item by setting activity environments for user permission, various layouts, and search conditions. Display the [Activity Setting] screen by the following procedure.
1.
Click [Settings] on the navigation bar, and click the [Activity Setting] tab.
The [Activity Setting] tab appears.
Note
To return to the [Document] screen, click [Home] on the navigation bar.
2.
Click [Create New].
The [Edit Activity Settings] screen appears.
Note
- Only users with document settings creation permission on the Management screen can create new activity settings, shared search settings, and categorization view settings.
- Click [Copy and Create New] from
, and you can copy and edit existing settings.
3.
Enter or select each setting and click [Save].
The activity settings are saved and the [Activity Setting] tab appears again.
Note
- Click [Cancel], and the entered and selected contents are discarded and the [Activity Setting] tab appears again.
- The maximum number of activity settings that users can create is 99.

Assign User
You can assign the permission to change or delete an activity environment and the permission only to use the activity environment to each user.
1.
Select the checkboxes of users displayed in [Editable Users].
Note
- To add users, click [Add from Address Book]. Enter conditions on the [Address Book] screen, select users from [Search Results], and click [Add].
- To delete a user, click [Delete].
2.
Select [All Standard Users] or [Specific User] from [Can Use].
Note
When you select [Specific User], select a user.
Layout Settings
You can set the display layout and ratio of the sizes of the navigation area, document list area, and property area.
1.
Select a display layout from [Select Screen Layout].
2.
Enter the ratio between the width and height of each area as necessary.
Note
You can switch from [Specify Percentage] to [Specify Pixels].
3.
Select the checkbox of [Collapse [Navigation] and View] or [Collapse [Properties] and View] as necessary.
4.
To make the same layout be displayed for all the users using this activity setting, select the checkbox of [Discard User-Updated Layout and Display This Layout].
[Navigation] Settings
You can set operations, search settings, and activity folders to be displayed in the navigation area.
Display [Navigation] Items
1.
Select the checkboxes of items to be displayed as icons in the navigation area.
2.
Select items to be displayed by default.
Search Settings
1.
Select a search setting to be displayed initially in the navigation area from [Personal Use], [Shared (Current Activity Setting)], or [Shared (All)], and click [Add].
2.
Click [Add] from [[Shared (Current Activity Settings)] Search Settings].
[Add Shared Search Settings] appears.
3.
Select [Usable Shared Search Settings] or [Editable Shared Search Settings].
4.
Select the checkboxes of search settings to be added and click [Add].
The [Add Results] screen appears.
5.
Click [Close].
Note
Select [View] from
to check the details of the search settings.
Activity Folder
1.
Click [Add].
The [Select Level] screen appears.
2.
Select a hierarchy level of the activity folder to be displayed initially in the navigation area and click [Select].
Note
You can also display or delete the details.
3.
Select the checkbox of [Display First Activity Folder in [Document List]] as necessary.
[Document List] Settings
You can perform settings of operation, cabinets, and folders in the document list area.
Operations Displayed in [Document List]
1.
Select the checkboxes of arbitrary hierarchy operations to be displayed (such as folder creation and search) so as to collect the operations in the [Selected] list, and click [Add] or [Exclude].
Note
To change the display order in the document list area, click
or
in the [Selected] list.
2.
Select the checkboxes of arbitrary batch operations to be displayed (such as move or deletion) so as to collect the operations in the [Selected] list, and click [Add] or [Exclude].
3.
Select the checkboxes of arbitrary individual operations to be displayed (such as change of name or attribute) so as to collect the operations in the [Selected] list, and click [Add] or [Exclude].
4.
Select the checkboxes of arbitrary individual operations whose icons are to be displayed (on the right of
) so as to collect the operations in the [Selected] list, and click [Add] or [Exclude].
Attribute Template Settings for Each Cabinet
1.
Click [Edit].
The [Attribute Template Settings] screen appears.
2.
Select a cabinet, and select the checkbox of [For View] or [For Update] of each template.
Note
To select all checkboxes, select the checkbox of [Attribute Template] shown in the first line of the list.
3.
Click [Settings].
An attribute template is set for each cabinet and the [Edit Activity Settings] screen appears again.
Folder and Document View Settings
Important
"Capture" and "Rules" described on this page refer to the features in the old product Smart Workstream Data Entry option. These are provided in File Management as compatibility features available only to customers who have purchased the old product.
1.
To change the view of folders and documents (such as view format and number of displayed folders/documents on one page), click [Edit].
The [Folder and Document View Settings] screen appears.
2.
Select a view format, sorting rule and so on, and click [Settings].
The created or changed contents are set and the [Edit Activity Settings] screen appears again.
Note
- If this screen is displayed from the [Activity Setting] screen for individual setting, [Save] is displayed instead of [Settings].
- Click [Restore Default], and the edited contents return to the default.
- To add a main basic attribute, select the attribute from [Name] and click [Add].
[Property] Settings
1.
Select [View Attributes], [Update Attributes], [View Access Permissions], [Update Access Permissions], [Update Status], [Content View] or [Attribute/Content Display] from [Operations Allowed in [Properties]].
Note
The selectable operations differ depending on the user permission.
Changing the Activity Settings
Note
Changing the settings is limited to the users who were added to the [Can Edit] list while creating the activity settings.
1.
Select [Edit] from
on the [Activity Settings] page.
The [Edit Activity Settings] screen appears.
2.
Make changes by referring to the procedures in "Setting Activity".
Deleting the Activity Settings
Note
Deleting the settings is limited to the users who were added to the [Can Edit] list while creating the activity settings.
1.
Switch [Usable Activity Settings] to [Editable Activity Settings].
2.
Select the checkboxes of the desired activity settings and click [Delete].
The message screen appears.
Note
- You can also delete activity settings by selecting [Delete] from
on the [Activity Settings] page. - A activity setting named [Standard] cannot be deleted, but can only be edited.
3.
Click [OK].
