[Edit {document type}] dialog box

Set attributes you want to define for the document type, and the registration destination.

[Custom] tab

[Attribute Name]

Enter a name for the attribute. Up to 255 characters can be entered.

[Type]

Select the type of the attribute from among [Text], [Number], [Date], [List (Text), [Fixed List (Text)] and [Yes or No].
If you select [List (Text)] or [Fixed List (Text)]
Users will be able to select a value for [Input Field] on the operation screen from the pulldown menu.
Also, if you select [List (Text)], users will be able to change the value after they select it from the [Input Field] pulldown menu.
If you select [Yes or No]
Users will be able to select [Yes] or [Not] from the pulldown menu as the value for [Input Field] on the operation screen.
Note
For PDF files, values will be in text format regardless of the attribute type you select here.
When [Yes or No] is selected, [Yes] and [No] are treated as [true] and [false], respectively.

[Value]

In the text box, enter a default value for the attribute according to the setting for [Type].
  • If you selected [Text], up to 255 characters can be entered.
  • If you selected [Number], enter a numeric value in the range between -2147483648 and 2147483647.
  • If you selected [Date], enter a date in the range between 1970/01/01 and 2036/02/06.
  • If you selected [List (Text)] or [Fixed List (Text)], enter a comma-separated list of choices. Up to 20 characters can be entered for each choice.
    Up to 19 choices can be specified for the [List (Text)] type, and 20 for the [Fixed List (Text)] type.

[Required]

Select whether to require the user to enter a value for the attribute when he/she runs [Register] on the operation screen.
If you select [Yes], an asterisk "*" will appear in [Attribute Name] on the operation screen.

[Edit prohibited]

Select whether to prohibit users from editing the attribute.
Note
When both [Edit prohibited] and [Required] are set to [Yes], registration cannot be done unless a default value has been specified for [Vale] or a value has already been given.

[Destination settings] tab

[Folder Name]

When a user runs [Register] on the operation screen, the file is classified and registered with the folder located in the hierarchical level that is set in this [Folder Name].
To set the hierarchical level of the folder, click the [Detailed].
Select the check box for the hierarchical level where the folder will be created, and select the folder name by choosing from the pulldown menu the document type, or the name of the attribute you specified as Required.
If you choose an attribute name, its value will be the name of the folder.

[File Name]

When a user runs [Register] on the operation screen, the file is registered under the name that is set in this [File Name].
To set the file name, click the [Detailed]. Select the check box for the rule to be used as file name, and then from the pulldown menu, select the original file name, document type, or the name of the attribute you specified as Required, to make up the file name.
If you choose an attribute name, its value will be the name of the file.
If you want to add five or more rules, click [Add Rule]. Up to 10 rules can be set.
Also, to use a separator between "Rules," select [None], [- (hyphen)] or [_ (underscore)] from the pulldown menu.

[Output CSV file during registration]

If you select the check box, when a user runs [Register], information on the attributes given to the file are output to a CSV file.
For each of the files, a single CSV file with the same name is created in the same location.
  • [Output Order]
    Select the order of document types/attributes to be output to a CSV file from [Prioritize attributes assigned to document] or [Prioritize Preferences].
  • [Date Format]
    Select the format to be used when Date type attributes are output to a CSV file, from the pulldown menu.
  • [Do not use time zone]
    If you select this check box, date will be output with no time zone applied.
  • [Character encoding]
    Select encoding to be used when data is output to a CSV file, from either [UTF-8] or [Shift-JIS].
  • [Output header]
    Set whether to output header information when a CSV file is output.
