Notes on Operating DocuWorks Tray Working Folder Link

This section explains precautions for the Working Folder Link function.

  • As Working Folder uses the Internet to make a connection, the performance varies depending on your operating environment.
  • When you take a document from the Working Folder Link tray, the original document is moved to the trash bin. Therefore, when you repeatedly exchange documents using the Working Folder Link tray, the number of documents in the Working Folder trash bin increases. Be sure to log in to Working Folder using a web browser, and empty the trash bin regularly.
  • Your login information to log in to Working Folder is shared with DocuWorks Extended Folder for Working Folder, DocuWorks Tray, and Working Folder Encrypted File Management Tool. Therefore, your logged-in state may be kept even after you have exited DocuWorks Tray.
    Also, if you exit all of these programs, you may be required to log in again. An error icon on the Tray gadget indicates you are required to log in.
  • When the Working Folder Link tray is set as the move destination for the multifunction device link, an error occurs if you try to store a document from the multifunction device to a tray before logging in.
    Select the [Login to Working Folder Upon Startup] check box on the [Working Folder Settings] dialog box to avoid this problem.
  • The log file is not deleted automatically. Delete the log file manually when it is no longer necessary.
  • When you take a document by moving it from the Working Folder Link Tray, this document is locked once the process begins, and other users are no longer able to take it by moving it. However, if you log in from another PC with the same user ID, you can take the document by moving it even during processing. To prevent an operational error, avoid simultaneously taking a document by moving it while logged in from more than one PC with the same user ID.
  • Communication with Working Folder may fail if the computer name of your Windows PC includes a full-width character. Be sure to change a computer name that includes a full-width character to a name that contains only single-width alphanumeric characters and hyphens (-). (19189)
  • If you open a document in a tray linked to Working Folder using the check-out function, the document is locked and cannot be opened or moved by other users. However, the document can be removed by someone who logs in Working Folder from another PC using the same login ID.
    To avoid unexpected operation on a document simultaneously accessed from other PCs, do not share one user ID with other users.
